Reports To (Job Title)

ATC Ops Manager, Engineering Manager, General Manager, local Station Managers and Unit Safety Manager

Job Purpose

To provide effective/efficient administrative assistance to local directorate.

Main Duties and Responsibilities

Checking and analysing documents, accounts, claims etc. ensuring that material conforms to regulations, contract terms etc.

Checking and assessing documents applying acquired knowledge and experience.

Checking, examining and querying less straightforward documentation.

Drafting letters and memos based on factual information.

Completing and issuing standard forms, memos, letters, queries etc.

Analysing and/or making précis of material.

Preparing explanatory memoranda.

Preparing, signing and issuing correspondence.

Making recommendations on the basis of instruction, regulations or general practice.

Making or checking standard arithmetical calculations.

General registry and filing duties.

Acceptance of cash – issuing change and receipts.  Recording and balancing cash received e.g. examination fees.

Preparing standard statistical material.


Manage and regularly update the Training Manager Records database for Engineering.

Issue all Technical Control Desk (TCD) notices, upload onto the TCD online portal, print for the TCD, amend, withdraw and issue as requested.

Order stationery for Engineering.

Process T&S claims to Salaries and file in General Office for reference.

Process Overtime returns.

Enter Time in lieu accrued onto the weekly report, HR system, and monthly report.

Check and process leave and time in lieu returns against the Attendance book at the end on the month.

Create, archive, destroy folders on Records Management and file in Archive Room.

Process Data software upgrade forms by printing, and file the original in the general office in preparation for Audits.

Process Safety documentation for Engineering and ATC.

Complete Monthly report for Head of Operational Engineering for the scorecards e.g. annual leave, sick leave, special leave, time in lieu accrued and time in lieu taken.

Data software upgrade forms for Ballygirreen that require signatures of staff based in Ballycasey.


Collect and process daily filing from the ATC Centre.

Distribute MORs, roster sheets, return to work forms, filing.

Enter information on Shannon Ops reports and the Coopans log.

Ordering and checking stationary.

Daily distribution of internal and external post.

Sending medical list to Doctor and create letters of medical appointments for staff.

Ensure admin forms in mailroom are up to date.

Issue as necessary TWIs, SNs, SR, Memos.

Upload onto EBS, and email to EPNI. Upload onto the Airwatch for Ipads.

Maintenance of Records Management system.

Send Course letters to Operations staff.

Process licence applications and scan UCEs.

Maintenance of notice boards.

Assist contractors on site as required.

Carry out tasks as required for Units Safety Manager / Station Managers on project duties.

Copy & send T&S claims to Salaries.

Scan documents (e.g. ELPAC) and file.

Bring forward figures for Ops Weekly Report.

Create posters and info graphics.

Create and edit Student Controller Programme (SCP) lunch log.

Skills Required

Professional telephone manner.

Proficient PC skills with experience in Word, Excel and Outlook.

Good interpersonal skills.

Ability to work by yourself and also as part of a team environment.
